Electronic laboratory notebook for Helmholtz HZI researchers
Welcome to the Labfolder user portal!
Labfolder is an electronic laboratory notebook that allows you to organize, record, and share data generated in the laboratory on a secure platform.
Since 2019, Labfolder has been used by a number of research groups at Helmholtz HZI centers. The rollout process began with selected groups in Braunschweig, Saarbrücken, and Würzburg. Ultimately, the software will be made available to all HZI research groups upon request.
Helmholtz HZI licenses Labfolder through a central contract, allowing researchers to focus on using the software without having to deal with contract and licensing costs.
Labfolder can be used via the central installation provided by Helmholtz HZI, where all data are stored locally and securely. To create a new account, you must be connected to the local Helmholtz HZI network.

Invite Your Colleagues
Group administrators can invite team members regardless of whether the user already has an account at the time of the invitation. After being invited, your colleagues will receive an email with instructions on how to register and/or join the group.
To invite your colleagues, please follow the steps below:
- Step 1: Navigate to “Groups” via the navigation menu on the left-hand side.
- Step 2: Select the group to which you would like to invite new members.
- Step 3: Click the “+ Add” button and select Invite users.
- Step 4: Enter the user’s email address, select the (sub-)group to which the new member should be added, and click “Invite”.
- Step 5: After receiving the confirmation message, click “OK”.
- Step 6: You can view the status of your group invitations at any time in the group menu.
Join Your Group
After joining your group, you can use your electronic laboratory notebook to collaborate with your colleagues in real time. You can add your own entries to shared projects, create a shared repository for protocols, comment on your data to speed up troubleshooting, and even assign and receive tasks to improve laboratory efficiency.
- Step 1: Open the email with the subject “You have been invited to join a Labfolder group!” from system@labfolder.com. Click the “Accept invitation” button in the center of the message. The link to the login page will open in a new tab.
Log in with your existing credentials. If you do not yet have a user account, simply create one by clicking the appropriate button, then navigate to the “Groups” section via the navigation menu on the left-hand side. - Step 2: Click “Pending invitation” in the top bar.
- Step 3: In the selection window, you will see the administrator who invited you and the group you are about to join. A warning will also be displayed if the group administration restricts private projects. Confirm by clicking the Join group button.

Labfolder Training: Learn all ELN functionalities
Are you ready to optimize your data, improve collaboration, effortlessly comply with laboratory standards, and make your day-to-day lab work easier overall? Then schedule a Labfolder training session to successfully implement your ELN.
This training consists of two parts:
- a 30-minute administrator training, in which all administrative functions of the Labfolder ELN are explained, including the management of Labfolder groups and projects
- a 60-minute user training, providing a comprehensive introduction to all ELN features so you can use Labfolder efficiently

Labregister Training: Learn how to benefit from our integrated inventory system
Every scientist works with a variety of materials, such as antibodies, chemicals, or plasmids. You may also wish to catalog the equipment used in your laboratory.
With the integrated inventory system, you can organize your inventory lists into categories and manage access rights accordingly. In addition, you can link inventory items directly in your lab notes, helping you improve the traceability and reproducibility of your experiments.

Q&A Session
When getting started with new software, it is usually helpful to familiarize yourself with all available features or go through tutorials.
